mselect is looking to hire a Document Controller for an oil and gas service client in Baghdad, Iraq. Candidates must have a minimum of 5 years in a document control or administrative role within an engineering, oil and gas, or construction company. Fluency in English and Arabic is a must.

Job Purpose
We are seeking a detail-oriented and organized Document Controller to manage the flow of documents and records across multiple projects. The Document Controller will ensure proper handling, storage, retrieval, and distribution of project documentation in compliance with internal procedures and client requirements. This role plays a key part in supporting project transparency, quality, and audit readiness.

KEY RESPONSIBILITIES
Document Management:
  • Handle both project-specific and company-wide documentation, including legal files, regulatory submissions, HR records, and administrative documentation
  • Maintain and organize project documentation, including technical drawings, contracts, submittals, and correspondence
  • Ensure document control procedures are followed throughout all stages of the project
  • Control the numbering, sorting, filing, and retrieval of electronic and hard-copy documents
Quality and Compliance:
  • Ensure that all documentation complies with project standards and is approved by authorized personnel
  • Track document revisions and ensure distribution of the latest versions to all relevant stakeholders
  • Support quality audits by providing accurate and timely access to required records
Project Coordination:
  • Coordinate with engineers, procurement, PMO, and site personnel to ensure all required documents are submitted and recorded
  • Maintain document transmittal logs and ensure timely delivery of project documentation to clients and vendors
Database and Software Use:
  • Utilize document management systems (DMS) or shared platforms (e.g. SharePoint, ERP, cloud drives) for file management
  • Scan, upload, and digitally archive physical documents when necessary
Reporting and Record Keeping:
  • Generate document status reports and maintain records of document history and approvals
  • Provide administrative support to the PMO in compiling project records for closeout and handover

REQUIREMENTS
Education:
  • Bachelor's degree in Business Administration, Information Management, or a related field preferred.
Experience:
  • Minimum of 5 years in a document control or administrative role within an engineering, oil and gas, or construction company.
Skills:
  • Strong organizational and time management skills
  • Familiarity with document control systems and practices
  • Attention to detail and ability to manage sensitive/confidential documents
  • Proficient in Microsoft Office (Excel, Word, Outlook) and file-sharing tools
  • Fluency in English and Arabic
