mselect is looking to hire a Payroll Assistant in Erbil, Iraq. Candidates must have a minimum of 1 year of experience in payroll processing or a related administrative role, preferably within a corporate or structured environment. Fluency in English is a must, Kurdish and Arabic are a plus.

Job Purpose
We are looking for a highly organized, detail-oriented, and reliable Payroll Assistant to join our team. The ideal candidate will play a vital role in supporting our payroll operations by ensuring the accurate processing of payroll data, maintaining meticulous records, and ensuring full compliance with payroll regulations. This position demands a high degree of confidentiality, attention to detail, and the ability to manage tasks efficiently in a fast-paced environment.

Key Responsibilities
  • Payroll Processing: Accurately and timely process payroll data, ensuring compliance with company policies, labour laws, and tax regulations. This includes verifying worked hours, applying the correct pay rates, and managing deductions such as taxes and benefits
  • Timesheet Verification & Reconciliation: Review and reconcile timesheets with payroll records to ensure all payments are accurate. Identify discrepancies, conduct audits, and work collaboratively with employees or managers to resolve any issues promptly
  • Wage and Deduction Calculations: Assist in calculating employee wages, overtime, bonuses, and various deductions (e.g. taxes, benefits, garnishments) while ensuring consistent payroll calculations using standardised formulas
  • Record Maintenance: Maintain and update payroll records, ensuring that personnel changes (new hires, terminations, salary adjustments, etc) are reflected accurately in payroll data and systems
  • Employee Support: Respond professionally and promptly to employee inquiries regarding payroll discrepancies, tax deductions, benefits, and other payroll-related matters, providing clear and comprehensive explanations
  • Compliance: Ensure compliance with local, state, and federal payroll regulations. Stay informed on legal changes and assist with implementing necessary policy adjustments to remain compliant
  • Cross-Department Collaboration: Work closely with HR and finance teams to ensure seamless payroll processing. Ensure payroll is aligned with employee benefits and compensation structures, making necessary adjustments when needed
  • Data Management & Analysis: Utilize Microsoft Excel to manage payroll data, conduct analyses, and generate reports. Use advanced functions like VLOOKUP, SUMIF, pivot tables, and conditional formatting to streamline payroll tracking and reporting
  • Problem Solving & Process Improvement: Apply logical and mathematical thinking to identify and resolve payroll discrepancies. Proactively analyse processes, propose solutions to errors, and suggest process improvements to enhance payroll efficiency
  • Continuous Learning: Stay up to date on payroll laws, best practices, and industry trends. Participate in relevant training, research industry standards, and recommend improvements to payroll processes for greater efficiency and compliance

Requirements
  • Experience: Proven experience in payroll processing or a related administrative role, preferably in a corporate or structured environment
  • Technical Proficiency: Advanced proficiency in Microsoft Excel, including functions such as VLOOKUP, SUMIF, pivot tables, and conditional formatting, to manage payroll data and generate reports efficiently
  • Attention to Detail: Exceptional numerical, analytical, and mathematical skills to ensure the precision and accuracy of payroll calculations and processes
  • Communication Skills: Strong verbal and written communication skills to professionally address employee concerns, clarify payroll-related queries, and provide clear explanations
  • Confidentiality: Ability to handle confidential information with discretion, ensuring that all payroll data is securely managed and fully compliant with data protection and privacy regulations
  • Regulatory Knowledge: Solid understanding of payroll regulations and tax laws to ensure compliance and accurate processing. Knowledge of local, state, and federal payroll requirements is essential
  • Language Proficiency: Strong written and verbal communication skills in English are required; knowledge of Kurdish and/or Arabic is an advantage
  • Strong time-management and organizational skills, capable of managing multiple priorities and meeting tight deadlines
  • Ability to work both independently and as part of a team, demonstrating a collaborative and proactive approach to problem-solving
  • Experience with payroll software or ERP systems is a plus
